Microsoft Copilot Now Connects Gmail and Outlook—What This Means for Your Business

If you’ve ever found yourself switching between Gmail, Outlook, and countless browser tabs just to track down an email or check your diary, you’re not alone. For many UK businesses, managing multiple platforms has become part of the daily routine.

That’s about to change. Microsoft’s AI assistant, Copilot, is making it much easier to stay organised. With the latest Windows update, Copilot can now link directly to your Gmail and Google Calendar, as well as your Microsoft accounts like Outlook and OneDrive.

What does this mean for your business? If you choose to enable it, Copilot can search across both Microsoft and Google platforms, helping you find information quickly and manage your schedule without the usual hassle.

Imagine asking, “When did I last email a client?” Copilot will search both Gmail and Outlook to find the answer, even if the message is buried deep in your inbox. Need to schedule a meeting? Copilot can check both your Outlook and Google calendars to help you avoid double-bookings.

You’re always in control—Copilot only accesses the accounts you choose to connect. Prefer to keep things separate? That’s fine, too. Copilot will continue to work within your Microsoft tools as it always has.

For businesses that use a mix of Microsoft and Google apps, this update could save a significant amount of time. It’s one of the first times we’ve seen these two major platforms working together, rather than competing.

Copilot is also becoming more than just a search tool. You can ask it to turn notes into a Word document, create a PowerPoint presentation, or generate a PDF, all without opening extra apps. Longer responses now come with an “export” button, so you can quickly send content into the format you need.

The update is currently available to Windows Insiders (Microsoft’s early access group) via the Microsoft Store, but it’s expected to roll out more widely soon. The direction is clear: fewer apps, fewer steps, and more time to focus on growing your business.

One thing to consider is data privacy. Connecting Copilot to your Gmail and calendar means giving it access to sensitive information. Microsoft assures users that you remain in control and your data is not used to train the AI, but it’s worth reviewing your business’s privacy preferences before enabling these features.

For many, the benefits will outweigh the concerns. It’s a positive step towards having your business tools work together seamlessly, helping you and your team stay focused on what matters most.
